Mount Olive Township passed an ordinance (Ord.# 16-2015) requiring a background check for ALL persons who supervise youth during an organized sport or recreation event. For our organization, this includes, but is not limited to, Coaches, Team Managers, Parent Helpers, and some Department Heads.
Steps you need to take:
- Fill out the IdentoGo form found at the bottom of the Mount Olive Police Department letter. This form has pre-printed information on it that is specific to Mount Olive. You will use this form as a reference when going online to complete your background check registration.
- Go to www.identogo.com and have your IdentoGo form handy for reference. Click on Start Here under the new applicant section and follow the instructions. At the end of the process, the system will give you an applicant ID number. Please be sure to fill that number in on your IdentoGo form (Click here for Form) in the spot provided at the bottom of the page. Bring this form with you when getting your fingerprint scan. During this process you will be required to pay $21.90 on a credit card or ACH (electronic) check. You will be reimbursed by MOSC for this fee. You will be asked to schedule an appointment to have your fingerprints scanned. The two closest scanning centers to our area are in Sparta and Parsippany. Make an appointment and finish the online application process. Scanning appointments could take up to 2 weeks to schedule, so please start the process early. If you have a conflict once you've booked your fingerprinting session, you must cancel or change that appointment on their website by 5:00PM the day before your appointment or you will be charged a $10.00 fee. MOSC will not reimburse you for this fee if you fail to cancel by the required deadline.
- When attending your fingerprinting session, be sure to bring any receipts from the online application process as well as an acceptable form of identification. Acceptable forms of ID are:
- current, not expired - drivers license, or non-drivers license
- U.S. Passport
- USCIS Permanent Resident ID Card
- USCIS Employment Authorization Card
Your ID must meet the following criteria all in one current document: Photo, Name, Address, Date of Birth. A combination of ID will not be accepted. All information must be in one document.
- After completing your fingerprint scan, you will be given a Morpho Trak receipt. You must scan that receipt and email it to [email protected]. You will NOT be allowed to Coach, Manage, etc… until we receive your scanned receipt. In the subject line of your email to us, please include your name – program you are involved with, age group and team you coach or manage (e.g., John Doe, Coach - Premier - U17 - Mount Olive Villa)
In the body of your email, please cut and paste the following and fill in where needed:
Your Name - _______________________________
Program you Coach or Manage - _______________________________
Age of kids you Coach or Manage - _____________________________
Team Name - ________________________________
Be sure to include your scanned receipt with the email. That will serve as proof that you've done your scan allowing you to coach while you wait for results. The receipt will also be needed for reimbursement.
- Reimbursement checks will be distributed at Coaches Meetings. Assuming you’ve sent us your email and scanned Morpho Trak receipt of fingerprinting, a minimum of 24 hours prior to a coaches meeting, you will receive your reimbursement at the next scheduled Coaches Meeting. Please do not send emails the day of the coaches meeting as we need time to process your reimbursement. If you are a Team Manager and will not be attending the Coaches Meeting, please coordinate with your Coach to pick up your check for you, or contact our VP of Operations at [email protected] to make other arrangements.
- When background check results are in, you will receive notification from the town. If you’ve passed, you have nothing further to complete for the next 3 years. If you’ve been denied, you have 30 days to appeal the decision if you wish. You may not Coach or Manage during the appeal process. It is also possible that your background check turns up incomplete. In this case, the town may require further documents or explanation. You will have 30 days to provide them with what they need. In this situation, you ARE able to Coach or Manage while the case is being completed.
Facts:
- Who sees your information? Neither MOSC nor the Township Recreation department see the detailed results of the background check, only the result (pass, fail, pending). It is done by the State Police. Only they see your personal information and full report. Results are provided to the town with one of 3 results - approved, denied, or pending (needs more information). The town rec department does not see actual results of the check, only the outcome result (approved, denied, pending) provided by the State Police. Our local police department will handle appeals or pending results.
- How often will I have to do this? Every 3 years. The check is required for anyone 18 years or older who supervises children.
- What are they checking for? See town ordinance Ord.# 16-2015 for more details.
